Who we are

The Kelowna Founders Club ("the Club", "we", "us") is a community for entrepreneurs and ambitious people based in Kelowna, British Columbia, Canada, operated by Karsen Koltun Marketing. This policy explains what personal information we collect, why we collect it, and how we handle it. We comply with the Personal Information Protection Act (British Columbia), Canada's federal privacy law (PIPEDA), and Canada's Anti-Spam Legislation (CASL).

What you give us

When you join the Club, RSVP to an event, buy a ticket or an Inner Circle membership, or contact us, we collect the information you provide: your name, email address, phone number, city, optionally your birthday, and, if you tell us you're a business owner, information about your business. If you create an account, we store your email address and a securely hashed password; if you sign in with Google, we receive your name and email address from your Google account instead. Payments are processed by Stripe; we never see or store your card number. Messages you exchange with the Club or with other members through the site are stored so the conversation works and so we can respond.

What we collect automatically

Like most websites, we use cookies and similar technologies. We use the Meta Pixel to measure how well our ads and posts on Facebook and Instagram work; Meta may set cookies and receive standard event data (such as pages visited and registrations completed) when you browse this site. When you arrive from one of our ads or links, we record which campaign brought you. We keep our own first-party analytics: which pages are visited and which buttons are used (such as RSVP and add-to-calendar), tied to a random device identifier, and to your account when you're signed in, so we can see what's working. We also receive delivery status for the emails and text messages we send you, so we know what reached you. We do not use this data to build profiles of you for anyone else.

How we use it

We use your information to run the Club: confirming RSVPs, tickets, and memberships, sending event announcements, reminders, and calendar invites by email and text message, operating the member directory and member messaging, processing payments and renewals, responding when you contact us, and understanding which events and campaigns people actually want. We use software, including AI-assisted tools, to help triage inbound messages, draft replies and campaigns, and keep records organized. Routine replies may be generated with AI assistance; our team monitors and reviews these communications.

The member directory and member messages

If you are a member, your name, city, and business information (if provided) are visible to other signed-in members in the community directory. Your email address, phone number, and birthday are never shown to other members. When another member sends you a direct message, the conversation stays on the platform: we notify you by email or text with a short preview, and your contact details are not revealed unless you share them yourself. You can turn message notifications off in your profile.

Who we share it with

We do not sell your personal information. We share it only with the service providers that make the Club work: Supabase (database and authentication, hosted in Canada), Stripe (payments), Resend (email), Twilio (text messages), Vercel (website hosting), Google (optional sign-in), Meta (advertising measurement via the Meta Pixel), and Anthropic (AI-assisted tools). Each provider processes data only to provide their service to us. We may also disclose information if the law requires it.

Your choices

You can unsubscribe from emails or reply STOP to any text message at any time, and event or billing confirmations you specifically request are still delivered. You can limit ad measurement through your browser's cookie controls and your Facebook or Instagram ad settings. You can ask us to access, correct, or delete your personal information by writing to us through the contact page; we respond to every request and act on it unless the law requires us to keep something (for example, payment records).

Retention & security

We keep member records while you remain a member and for a reasonable period afterwards, then delete them. Payment records are kept as long as tax and accounting rules require. Data is stored with access controls and encryption in transit. No system is perfectly secure, but we take measures appropriate to the sensitivity of the information, and we would notify you and the authorities as required by law if a breach ever put you at real risk.

Children

The Club and this website are intended for adults. We do not knowingly collect personal information from children under 13; if you believe a child has given us their information, contact us and we will delete it.
